Write Better Emails 10x Faster with AI
Email is the highest-frequency writing most of us do, and it’s where AI pays for itself fastest. You don’t need fancy tools — just a chatbot and this workflow.
Workflow: draft → fix → polish
1. Draft with context (2 minutes)
Give the AI everything it needs in one shot:
Draft an email to [person/role]. Context: [2-3 sentences of background]. Goal: [what you want to happen]. Tone: [friendly / formal / firm]. Keep it under 150 words.
The quality of the draft depends almost entirely on the Context line. Two sentences of background beats two paragraphs of generic prompt.
2. Fix the facts (1 minute)
AI drafts sound confident and get details wrong. Read it and correct: names, dates, numbers, attachments. Never send an AI email you haven’t proofread for facts — this is the step everyone skips and regrets.
3. Polish in one pass (2 minutes)
Two follow-ups that fix most draft problems:
- “Make it less formal. Remove filler words.”
- “Shorten it by 30%. Keep the key point.”
The reply trick
For replies, paste the incoming email first:
Here’s an email I received: [paste]. Draft a reply that [goal], in the same language and level of formality.
The AI matches the register of the original, which reads as natural in a thread.
When NOT to use it
- Truly personal emails. A condolence note or apology written by AI reads hollow. Write those yourself.
- Negotiations. Use AI to prepare, not to send. Draft your positions, then write the final email yourself.
- Anything legally binding. AI is a draft engine, not a lawyer.
The 30-second version
If you remember nothing else: paste context, state goal, set tone, proofread the facts. That’s the entire skill — everything else is polish.
